Total Office Manager features all of the comprehensive security you may expect from a $100,000 enterprise accounting solution. Users can be forced to setup login name and passwords. Passwords can include expiration dates. Our Lock and Walk system allows you to quickly hide screen information and lock the program. This is great when you must leave your office but want to leave the program running. If you're a small company, security can be turned off and back on at any time.
Permissions can be set for the following options on a form-by-form and user-by-user basis: editing, viewing, creating, deleting, voiding, and inactivating. For instance, you can setup unlimited users, each with a unique set of permissions for each form in the program. One person could be given permission to view, modify, or delete payroll records, while another would be restricted from viewing the same information.
Total Office Manager keeps you informed as to who is logged in at any moment. A convenient Information Center sits on the left side of your screen informing you of who is logged in and out of your company file.
Simply put, the Audit Trail feature allows you to know who did what, where, and when. A complete activity log is kept of user login, user logoff, record modification, deletion, date, time, and more. Even user information such as Username and Computer Name is stored in the Audit Trail for all activities logged. You can even keep track of what records were viewed. This is always on and never adjustable, even by the administrator.
When any high risk change is made (ex. changing the account on an invoice item, changing the accounts or other sensitive information on payroll items, or making certain liability adjustments) Total Office Manager will require the administrator's password to be entered. These changes are also logged in the audit trail so that you will know when and where such changes were made.
The security label appears on all financial related forms in Total Office Manager. This label indicates the person who originally created the form along with the date and time. The security label also indicates which user last modified the form along with the date and time.
This label helped one Total Office Manager user detect that a trusted coworker was stealing money. Using the advanced security and Audit Trail features, this user was able to conduct an investigation and determine that this person had embezzled over $80,000. Obviously this user is a big Total Office Manager fan!
Total Office Manager includes a handy feature that allows your administrator to set a date where nothing can be changed. Simply activate the feature and enter a date. Total Office Manager users will not be able to make any changes that fall on or before the date specified.
