Introduction

The Internal Revenue Service Form 1099 reports payments made during the year to businesses or individuals for products or services.  A copy of each 1099 form is sent to the respective business or individual.  1099 forms report the business or individual’s name, address, federal tax identification number, and the total amount paid via cash, check, or direct debit to contractors during the year.  This form can be printed from within the program. Currently, all amounts calculated for payment to Form 1099 are classified as Nonemployee Compensation.  If you wish these amounts be split between fields, you must manually split the numbers.

The Internal Revenue Service Form 1096 is a summary which reports the totals of the various 1099 forms prepared for a given year.

Form Access

  • From the main menu, click Vendors | Vendor 1099/1096 Forms.

Step-By-Step

  1. In the “Select a Year” field, choose the calendar year for which to prepare the 1099 or 1096 forms.
  2. Click the “Calculate” button.  For each vendor having the “Vendor is eligible for 1099″ checkbox ticked in their vendor record, the appropriate calculations will take place.
  3. Click the “View 1099” button or the “View 1096” button as necessary.

Reviewing Calculated 1099 Forms

After calculating 1099 forms as described in “Step By Step” above, clicking the “View 1099” button will open the “Vendor 1099-MISC Edit” window.

The data for each vendor’s 1099 may now be reviewed and edited as necessary.  The “Next 1099” button will display the following record, and the “Prev 1099” button will display the preceding record for that calculation year.

Form 1099 Printing Commands

Printing commands are available from a pop-up menu by clicking the “1099 Info” button.

  • Print Current – Prints the currently viewed record.
  • Print All – Prints all of the 1099 forms for the calculated year.
  • Shift Fields – Not all preprinted forms are created equally.  The fields on Total Office Manager’s printed 1099s are aligned to fit tractor-feed forms obtained from the IRS.  Downloading and printing forms from the IRS website may produce what may initially appear to be an identical form, but differences in printers and printer drivers from different manufacturers can shift the actual position of an item on printed pages.  The Shift Fields command opens the “Shift 1099 Printed Fields” window which is used to adjust the printing offset in an attempt to correct this issue (if possible).

Reviewing Calculated 1096 Forms

After calculating 1096 forms as described in “Step-By-Step” above, clicking the “View 1096” button will open the “Form 1096” window.

The data in the 1096 form may now be reviewed and edited as necessary.
